EPF and UAN Name Correction: What Employees Should Know
A mismatch between the name recorded in an employee’s Universal Account Number and the name appearing in Aadhaar can affect Aadhaar verification, EPFO KYC, PF transfer, online withdrawal claims, bank-account validation and pension-related services. The difference may result from a spelling mistake, incorrect data entered by the employer, a missing surname, expansion of initials, marriage-related surname change or a formal change of the first name or complete name.
However, every difference between the UAN and Aadhaar does not require Gazette publication.
Before applying for correction, the employee should first identify:
- Whether Aadhaar already contains the final correct name;
- Whether the UAN difference is only a clerical or data-entry error;
- Whether the person has actually adopted a different legal name; and
- Whether the correction facility available in the member’s account permits direct Aadhaar-based updation or requires employer verification.
EPFO simplified the member-profile correction process in January 2025. According to the official EPFO announcement, members whose UAN is validated through Aadhaar may be able to update specified profile particulars, including the member’s name, through the online facility without uploading documents. However, certain cases—such as incomplete e-KYC records, specific older UANs, substantial name differences or requests that cannot be completed through Aadhaar authentication—may still require employer certification, supporting documents or processing under the Joint Declaration procedure.
Therefore, an employee should not begin the Gazette process merely because the names in Aadhaar and UAN are different. The records should first be compared to determine whether the matter involves a simple EPFO profile correction, an Aadhaar correction or a formal legal name change.
Where Aadhaar and the employee’s original records already contain the correct name, the UAN may generally be aligned through the applicable EPFO correction process. Gazette publication becomes relevant mainly where the employee has formally adopted a different first name or full name and reliable documents are required to establish the connection between the former and new names.

What Does UAN Name Correction Mean?
Meaning
UAN name correction means updating the name recorded in the EPFO member profile when it is incorrect, incomplete or different from the member’s verified identity records. The corrected name should ordinarily match Aadhaar and be supported by the relevant employment or identity documents.
When Is It Required?
A correction may be needed where the UAN contains:
- A spelling or typing error
- A missing or incorrectly entered surname
- Initials instead of the complete name
- A different name sequence
- A surname adopted or restored after marriage or divorce
- A formally changed first name or full name
Why Is It Important?
A mismatch between UAN and Aadhaar may affect Aadhaar authentication, KYC verification, PF transfer, online withdrawal claims, bank-account validation and pension-related processing. In substantial name-change cases, EPFO may also require documents connecting the former and current names.
What Does the Correction Cover?
The correction updates only the member’s name in the EPFO system. It does not automatically amend Aadhaar, PAN, bank records, passport, educational certificates or the employer’s internal payroll and service records. Any incorrect record maintained by another authority must be corrected separately under that authority’s procedure.
Is Gazette Notification Required for UAN Name Correction?
Gazette notification is not compulsory for every EPF or UAN name correction. Its requirement depends on whether the employee is correcting an error already present in the EPFO record or has formally adopted a different first name or complete name.
EPFO ordinarily examines a name-correction request with reference to the member’s Aadhaar-verified details, employment records, available KYC information and the supporting documents required for the applicable correction process. Eligible Aadhaar-validated members may be able to update their profile through the available self-service facility, while other cases may require employer verification or processing through the Joint Declaration route.
Therefore, Gazette publication should not be treated as the first step in every UAN mismatch case.
When Gazette Is Generally Not Required
Gazette notification may usually be unnecessary where the UAN contains:
- A minor spelling or typing error;
- A wrongly entered letter in the first name or surname;
- A missing or incorrectly added salutation;
- An error made by the employer while creating the member record;
- A missing surname that is already supported by Aadhaar and employment documents;
- Initials or an abbreviated name that can be connected with the full name through reliable records; or
- A name variation that can be resolved through Aadhaar authentication and supporting employment records.
For example, if Aadhaar and the employee’s original records show “Ritika Sharma,” but the UAN shows “Ritika Sharam,” the issue is ordinarily a record correction. Publishing a Gazette merely to correct this typing mistake would generally be unnecessary.
Similarly, where the employer omitted a surname while registering the employee, the member should first check whether Aadhaar, Form 11, appointment records, PAN or other original documents already contain the complete correct name.
When Gazette May Become Relevant
Gazette publication may be relevant where:
- The employee has adopted a completely different first name;
- The former full name is being replaced with a new full name;
- The old and new names are substantially different;
- The employee wants to use the new name across all future identity and employment records;
- Aadhaar still contains the former name and must first be updated;
- Existing documents do not clearly connect the old and new names; or
- Stronger documentary continuity is required between two materially different identities.

This is not a spelling correction or employer data-entry error. The employee may first need to complete the formal name-change process and obtain Gazette publication before applying to update Aadhaar and UAN.
Why Aadhaar Status Matters
EPFO’s digital profile-correction process is closely connected with Aadhaar verification. If Aadhaar already contains the correct final name, the employee should first explore the applicable EPFO correction facility instead of beginning a Gazette process.
However, where Aadhaar itself must be changed from an old first name or full name to an entirely new name, UIDAI requires a Gazette notification issued by a State or Union Government along with an old proof-of-identity document containing the name currently recorded in Aadhaar. UIDAI also states that the address details in the Gazette should correspond with the Aadhaar record.
In such cases, the practical sequence is generally:
- Finalise the old and new names;
- Complete the applicable Gazette name-change process;
- Update Aadhaar with the final name;
- Apply for UAN profile correction; and
- Update PAN, bank and employer records separately.
Important Clarification
Gazette publication does not automatically change the name in the UAN or EPF account. It only provides documentary evidence of the formal change from the former name to the new name.
A separate correction request must still be submitted through the applicable EPFO process. Final processing depends on Aadhaar validation, employment records, supporting documents and the correction facility available in the member’s account.

First Identify Whether the Matter Is a Correction or a Legal Name Change
Before applying for UAN name correction, the employee must first identify the real nature of the mismatch. A clerical error, missing surname, married-name update and complete legal name change cannot always be supported by the same documents.

Where Aadhaar still contains the former first name or full name, UIDAI requires a Gazette notification issued by a State or Union Government and an old photo identity document containing the name presently recorded in Aadhaar. The address in the Gazette should also match the Aadhaar details.
The practical sequence may therefore be:
- Finalise the exact new name.
- Complete the applicable legal name-change and Gazette process.
- Update Aadhaar using the Gazette and old identity proof.
- Apply for correction of the UAN profile.
- Update PAN, bank and employer records separately.
The Gazette establishes documentary continuity between the former and adopted names. It does not directly or automatically change the name in the UAN.
Practical Test Before Applying
Ask the following question:
Does the requested name already appear in reliable original records, or has the employee adopted it later?
If the requested name already appears in Aadhaar and original employment or identity records, the matter is more likely to be a correction.
If the employee intentionally adopted a substantially different first name or full name later, the matter is more likely to require a formal name-change process before UAN alignment.
How EPFO Examines Minor and Major Name Changes
EPFO’s Joint Declaration framework distinguishes between a limited correction in an existing name and a substantial change that may require stronger documentary verification. This distinction helps EPFO and the employer assess whether the requested modification is only a spelling or data-entry correction, an expansion of initials, a surname update, or a complete legal name change. A minor correction may often be supported through Aadhaar, Form 11 and employer records, while a major or materially different name change may require additional evidence connecting the old and new names. However, this classification does not by itself decide whether Gazette notification is compulsory or whether the request will be approved. The final decision depends on Aadhaar details, employment records, the nature of the change and the consistency of the supporting documents.
Minor Correction: Existing Identity Remains the Same
A name correction may be treated as minor where the proposed change does not materially alter the member’s identity. This may include:
- Correction involving fewer than three letters;
- A spelling change that does not alter the pronunciation of the name;
- Removal of a title or salutation such as Mr., Mrs., Miss, Shri or Dr.; or
- Addition of a surname after marriage.

What This Classification Actually Means
The minor-or-major category does not independently decide whether Gazette notification is compulsory. It mainly affects the level of document verification required.
A minor correction may still be rejected if Aadhaar and employer records do not support it. Similarly, a major modification may be processed where reliable records establish that both name versions belong to the same EPF member.
Since EPFO simplified the Joint Declaration process in January 2025, many Aadhaar-validated members can update specified profile details through the online facility. Full first-name or full-name change requests, however, may still require Gazette notification and additional proof under the applicable process.
Actual EPF and UAN Name Correction Process
The procedure for correcting a name in the EPF or UAN record is not the same for every member. The applicable process depends on several factors, including whether the UAN is Aadhaar-validated, whether the correct name is already recorded in Aadhaar, whether e-KYC has been completed, and whether the requested correction can be processed directly through the Member Portal or requires employer verification under the Joint Declaration procedure.
In January 2025, EPFO simplified the member profile updation process for eligible Aadhaar-validated UAN holders. Depending on the member's eligibility, certain profile particulars, including the member's name, may be updated through the online facility. However, cases involving incomplete e-KYC, older UANs, significant identity differences or other verification issues may still require employer authentication and additional supporting documents.
Route 1: Aadhaar-Based Online Profile Correction
This route is generally available where the member's UAN has been successfully validated with Aadhaar and the correct final name already appears in the Aadhaar database.
Step 1: Verify the Name in Aadhaar
Before submitting any correction request, compare the name recorded in Aadhaar with the name appearing in the UAN profile.
The following details should be carefully checked:
- First name
- Middle name
- Surname
- Order of the names
- Initials and expanded names
- Spacing between words
- Date of birth
- Gender
The requested UAN name should exactly match the verified Aadhaar record. Introducing another spelling or different name format may result in further verification or rejection.
Step 2: Sign in to the EPFO Unified Member Portal
Log in to the official EPFO Unified Member Portal using your UAN and password.
Open the profile correction or member profile updation option currently available in your account. Since EPFO periodically updates its online services, the menu names or workflow may change over time.
Step 3: Submit the Correct Name
Enter the name exactly as it appears in Aadhaar and complete the Aadhaar authentication or OTP verification process, wherever required.
Eligible members may be able to submit the correction online without uploading additional documents. However, this facility is available only where the member satisfies the conditions prescribed by EPFO.
Step 4: Verify the Updated Profile
Once the request is processed, review your UAN profile to ensure that:
- The corrected name is displayed.
- Aadhaar remains verified.
- PAN and bank KYC continue to be approved.
- Previous Member IDs remain linked with the same UAN.
- Online EPFO services continue to function normally.
Route 2: Joint Declaration Through Employer Verification
If Aadhaar-based self-correction is not available or the requested modification requires documentary verification, the member may have to proceed through the Joint Declaration process.
Under this procedure, the employer verifies the correction request before it is processed by EPFO.
Step 1: Submit the Correction Request
The member should submit the correct name together with the documents supporting the requested correction.
Depending on the nature of the case, these documents may establish:
- The employee's identity;
- The correct name;
- The connection between the old and new names; and
- Consistency with the employer's records.
Step 2: Employer Verification
The employer may compare the request with available establishment records such as:
- Form 11
- Employment application
- Appointment letter
- Employee master records
- Wage and payroll records
- Salary slips
- Aadhaar and PAN submitted at the time of joining
- Previous employment records
The employer should verify that the requested correction is supported by reliable records before approving the request.
Step 3: Processing by EPFO
After employer authentication, the request may be examined by EPFO based on the supporting documents, Aadhaar details and the nature of the correction.
Additional verification may be required where:
- The old and new names are substantially different.
- Aadhaar does not match the requested name.
- Initials are being expanded into a full name.
- Multiple personal details are being changed together.
- The previous employer has closed the establishment.
- Duplicate UANs exist.
- Identity documents contain conflicting information.
Employer approval does not automatically guarantee final approval by EPFO. Depending on the documents and verification outcome, EPFO may approve, return or reject the application.

Important Note

Documents Required for EPF and UAN Name Correction
The documents required for a UAN name correction depend on the correction route available to the member. There is no rule requiring every applicant to submit Aadhaar, PAN, passport, birth certificate, Gazette, affidavit, marriage certificate and newspaper publication together.
Under EPFO’s January 2025 simplified process, an eligible Aadhaar-validated member may be able to update permitted profile particulars without uploading documents. Where the correction must proceed through the employer-verified Joint Declaration route, supporting documents are required according to EPFO’s prescribed list.
Documents Under the Joint Declaration Route
For correction of the member’s name, EPFO’s Joint Declaration SOP treats Aadhaar as mandatory. The member must also provide the required number of supporting documents from the acceptable-document list:
- For a minor correction, at least two relevant documents are required.
- For a major correction, at least three relevant documents are required.
The Aadhaar card forms part of this document count. The documents must display the name relevant to the correction and should consistently identify the same EPF member.
Acceptable Documents for Name Correction
In addition to Aadhaar, EPFO’s acceptable-document list includes records such as:
- Passport
- Birth certificate
- Driving licence
- PAN card or e-PAN
- Voter ID or e-Voter ID
- Ration or PDS photo card
- School leaving certificate, transfer certificate, board certificate or marksheet containing the name
- Service photo identity card issued by the Central Government, State Government, Union Territory Government, PSU or bank
- Bank passbook containing the member’s name and photograph, cross-stamped by a bank official
- Pensioner photo card and certain other government-issued photo records
The applicant does not need to submit every document on the list. Only the required number of reliable and relevant documents should be selected according to the nature of the correction.
For a Simple Spelling Error
Where the UAN contains a spelling or data-entry mistake, Aadhaar should show the correct name. The member may support the request with one or more consistent documents from EPFO’s acceptable list, such as PAN, passport, school certificate, driving licence or an eligible bank passbook.
For example, where UAN records “Pooja Sharam” but Aadhaar and PAN record “Pooja Sharma,” the documents establish that the issue is a correction of the EPFO profile rather than adoption of a new name.
An appointment letter, salary slip or Form 11 may help the employer understand how the error occurred, but the formal Joint Declaration request should be supported by the documents prescribed by EPFO for the relevant parameter.
For Expansion of Initials
Where initials in the UAN are being expanded into a full name, the documents must establish that both versions belong to the same member.
For example:

Aadhaar is mandatory under the Joint Declaration SOP. Additional supporting records may include a passport, PAN, school certificate, birth certificate, driving licence or another accepted document showing the expanded name.
An affidavit may provide an explanation, but an affidavit is not listed as a substitute for the prescribed name documents and should not be treated as sufficient by itself.
For Addition of a Surname After Marriage
EPFO classifies the addition of a surname by a female member after marriage as a minor name correction. However, the name requested in the UAN should be supported by Aadhaar and other acceptable documents containing the married name.
Relevant records may include:
- Aadhaar containing the current name
- PAN or e-PAN
- Passport
- Voter ID
- Driving licence
- Another accepted photo identity record showing the same name
A marriage certificate may help establish the reason for the surname change, particularly where the employer asks for continuity between the former and married names. However, it should not replace the Aadhaar and name-supporting documents prescribed for UAN profile correction.
Gazette publication is not automatically required merely because a surname has been added after marriage.
For Restoration of a Previous Name After Divorce
Where a member wants to restore a former or pre-marriage name, the applicant should first ensure that Aadhaar reflects the final name intended for the UAN.
A divorce decree may explain the change in marital circumstances, but the UAN name correction should also be supported by Aadhaar and accepted name documents showing the requested name. Depending on the facts, older PAN, passport, school records or another government-issued identity document may help establish continuity.
Where the member has formally adopted a materially different first name or full name, Gazette publication may become necessary. A divorce decree alone does not automatically update the UAN profile.
For a Complete First-Name or Full-Name Change
EPFO’s Joint Declaration SOP specifically provides that, for a first-name or full-name change, the member must submit:
- Aadhaar;
- Gazette notification recording the new name; and
- A supporting photo identity document containing the old name.
This requirement applies even to the first request for a complete first-name or full-name change under the Joint Declaration route.
UIDAI also requires a State or Union Government Gazette notification and an old proof-of-identity document for changing the first name or full name in Aadhaar. The Gazette address should correspond with the Aadhaar details.
The practical sequence is generally:
- Obtain the correct Gazette notification.
- Update Aadhaar to the final name.
- Apply for UAN name correction.
- Submit the Gazette and old-name photo identity proof where the Joint Declaration process requires them.
- Update PAN, bank and employer records separately.
Important Document Precautions
The documents should contain consistent spelling, name sequence and identity details. Blurred copies, cropped Gazette pages, conflicting name versions or documents belonging to different individuals may result in additional verification or rejection.
Gazette notification, affidavit and newspaper publication should not be added to every application unnecessarily. A minor EPFO spelling correction and a complete legal name change are different matters and require different supporting evidence.

Gazette Process Before UAN Name Correction
Gazette publication should be considered only where the employee has formally adopted a different first name or full name. It is generally unnecessary for an ordinary spelling mistake, employer data-entry error or minor UAN mismatch that can be supported by Aadhaar and existing employment records.
The purpose of Gazette publication in a complete name-change case is to create an official public record connecting the former name with the adopted name. Before starting the Gazette process, compare the name appearing in:

If the requested name already appears consistently in Aadhaar and original records, the matter may only require UAN correction. Gazette publication should not be obtained merely to correct an incorrect entry made by the employer.
Where the employee has intentionally adopted a materially different first name or full name, the Gazette route may be relevant.
Step 2: Finalise One Old Name and One New Name
The former name should be written exactly as it appears in the principal identity records. The adopted name should also be finalised before preparing any affidavit, newspaper notice or Gazette application.
The employee should check:
- Exact spelling
- First, middle and surname sequence
- Initials and expanded names
- Spacing between words
- Address details required by the publishing authority
Publishing one version in the Gazette and requesting another version in Aadhaar or UAN may lead to rejection or additional verification.
Step 3: Identify the Correct Gazette Authority
There is no single Gazette application process applicable to every person and every State.
Depending on the applicant’s category, residence and purpose, the name-change notice may be published through:
- The concerned State Gazette; or
- The Gazette of India through the Department of Publication.
The Department of Publication maintains separate guidelines for different categories, including general name change, maiden surname, minor children and other specific situations. Applicants should use the instructions applicable to their own category rather than relying on a generic checklist.
Step 4: Prepare the Documents Prescribed by That Authority
The actual requirements must be taken from the concerned Gazette authority’s current guidelines.
Depending on the applicable process, the authority may ask for documents such as:
- Prescribed request or application form
- Name-change deed, declaration or affidavit
- Proof showing the former name
- Current address proof
- Photograph
- Specimen signature
- Newspaper publication, where specifically prescribed
- Undertaking or certificate in the prescribed format
- Digital and printed publication material
- Proof of payment of the prescribed publication charges
These documents should not be described as compulsory in every State Gazette case. Newspaper publication, affidavit format, number of copies and submission method may differ according to the publishing authority and applicant category.
The Department of Publication officially provides separate change-of-name guidelines, accepted old-name and address documents, request-letter formats and related forms.
Step 5: Check the Gazette Entry After Publication
Once the notice is published, verify the entire entry carefully.
It should correctly show:
- The former name
- The adopted name
- Identifying or address details, where published
- Gazette title and publication date
- Page or notification details
The employee should keep the complete Gazette page or official digital copy. A cropped extract showing only the name may not be sufficient for Aadhaar or EPFO verification.
If the former name, new name or address is materially incorrect, the document may not support the intended correction and the publishing authority’s rectification procedure may need to be followed.
Step 6: Update Aadhaar With the Final Name
Where the employee is changing the first name or full name in Aadhaar, UIDAI requires:
- A Gazette notification issued by a State or Union Government; and
- An old proof-of-identity document containing the name currently recorded in Aadhaar.
UIDAI also states that the address details appearing in the Gazette should match the Aadhaar record.
The employee should therefore complete the Aadhaar update before submitting a UAN request based on the new name.
Step 7: Apply for UAN Name Correction
After Aadhaar reflects the final adopted name, the employee should use the correction facility available in the EPFO Member Portal.
Where the matter proceeds through the Joint Declaration route, the member may need to submit:
- Updated Aadhaar
- Gazette notification
- Old photo identity proof showing the former name
- Employer or service records, where required

What If Aadhaar Is Correct but UAN Is Wrong?
Where Aadhaar already contains the employee’s correct final name but the UAN profile shows a spelling mistake, missing surname, wrong initials or another incorrect entry, the employee should first use the profile-correction facility available through the official EPFO Member Portal. The requested name should be entered exactly as it appears in Aadhaar, without changing the spelling, sequence or surname format. If the UAN is Aadhaar-validated and the member is eligible for direct profile updation, the correction may be completed through Aadhaar authentication. Where direct correction is not available, the request may need to proceed through the employer-verified Joint Declaration process with supporting identity and employment records. The employee should also review the status of Aadhaar, PAN and bank KYC after the correction is processed. Gazette publication is generally not required in this situation because the correct name already exists in Aadhaar and the matter concerns correction of the EPFO record rather than adoption of a new legal name.
What If UAN Is Correct but Aadhaar Is Wrong?
Where the name recorded in the UAN is correct but Aadhaar contains an incorrect spelling, incomplete name or old name, the employee should not change the correct UAN merely to match the incorrect Aadhaar record. Aadhaar should first be updated according to UIDAI’s applicable procedure because EPFO profile verification and Aadhaar authentication generally depend on the name recorded in Aadhaar.
For a minor spelling correction or other name update, the resident must visit an Aadhaar Seva Kendra or authorised Aadhaar enrolment and update centre with an accepted Proof of Identity document showing the correct name. UIDAI’s online myAadhaar service currently permits address and document updates, but name changes are handled through an Aadhaar update centre.
Where the applicant is replacing the existing first name or full name with a materially different name, UIDAI requires a Gazette notification issued by a State or Union Government together with an old Proof of Identity document containing the name presently recorded in Aadhaar. UIDAI also states that the address details in the Gazette should match the Aadhaar record.
After Aadhaar is updated, the employee should verify that the Aadhaar name matches the UAN exactly, including spelling, surname and name sequence. PAN, bank KYC and employer records should also be reviewed separately. If the UAN already contains the same final name, no unnecessary UAN correction application should be filed.
What If the Former Employer Has Closed?
If the former establishment has closed, the usual employer approval may not be available. In such cases, the member may have to submit the prescribed Joint Declaration to the concerned EPFO field office with attestation from an authority permitted under the EPFO SOP, such as a Gazetted Officer, Magistrate, bank manager, Tehsildar or another recognised official.
The member should keep Aadhaar, UAN details, PF Member ID and available employment proof ready, such as salary slips, appointment letter, bank statements showing salary credits, PF passbook or relieving documents. Where the name was formally changed, Gazette notification and an old-name identity document may also be required.
EPFO will verify both the identity of the member and the connection with the closed establishment. A Gazette notification alone is not enough because it proves a name change, not the employment relationship.
What If the Employer Rejects or Does Not Approve the Request?
An employer may return, reject or keep a UAN name-correction request pending where the requested name is not supported by establishment records, Aadhaar does not match, the uploaded documents are incomplete, or the proposed change is substantially different from the identity recorded at the time of employment.
First Check the Reason
The member should review the rejection or return remarks before submitting another request. Common issues include:
- The requested name differs from Aadhaar;
- Form 11 or joining records contain another name;
- The old and new names are not properly connected;
- Supporting documents are unclear or inconsistent;
- A complete name change has been submitted as a spelling correction; or
- Several profile particulars are being changed without sufficient evidence.
Correct the Record Before Reapplying
The employee should submit a written request to the employer with only the relevant documents, such as Aadhaar, Form 11, appointment records and accepted identity proof. Where the employee has formally changed the first name or full name, updated Aadhaar, Gazette notification and old-name identity proof may also be required.
If Aadhaar itself contains the wrong name, it should normally be corrected before the UAN request is filed again.
If the Employer Does Not Act
Where the request remains pending or is rejected without a clear reason, the member may register a grievance through EPFiGMS. EPFO’s Joint Declaration framework provides for grievances relating to Joint Declaration requests, and the grievance is routed to the concerned EPFO office for examination.
The member should attach:
- UAN and PF Member ID details;
- Correction-request acknowledgement;
- Employer rejection or return remarks;
- Aadhaar and relevant supporting records; and
- A brief explanation of the mismatch and the correction requested.
The member may also approach the EPFO field office having jurisdiction over the establishment. EPFO officially lists EPFiGMS as the grievance mechanism available to members.
Important Clarification
A Gazette notification does not override contradictory employment records and does not force the employer or EPFO to approve a request. It is relevant mainly in a formal first-name or full-name change case. The complete record must still establish that the old name, new name and UAN belong to the same employee.
Common Reasons Why UAN Name-Correction Requests Are Delayed or Rejected
A UAN name-correction request is not rejected merely because the employee has made a mistake. In many cases, the application is delayed or returned because the supporting records do not establish a clear and consistent identity. Before submitting a fresh request, the employee should identify the actual reason for the mismatch.
Aadhaar Does Not Match the Requested Name
EPFO relies significantly on Aadhaar for identity verification. If the requested name in the UAN application does not exactly match the verified Aadhaar record, the request may require additional verification or may not be processed through the available correction facility.
Different Name Formats Across Documents
A common reason for delay is inconsistency between identity documents.

Incorrect or Incomplete Gazette Notification
Where Gazette publication is relied upon, it should correctly mention the former name and adopted name. A Gazette containing an incorrect spelling, incomplete publication details, address inconsistency or no clear connection with the applicant may not adequately support the correction request.
Incomplete or Unclear Supporting Documents
Blurred scans, cropped documents, unreadable copies or incomplete uploads may delay verification. All supporting documents should be clear, complete and consistent with the requested correction.
Employer Records Do Not Support the Request
The employer may not approve the request where Form 11, appointment records, payroll records or other establishment records contain a different name and the employee has not submitted sufficient evidence explaining the difference.
Duplicate UAN or Multiple Identity Issues
Creating another UAN does not resolve a name mismatch. Where duplicate UANs exist, the member may first need to complete the appropriate EPFO process for profile correction, transfer of PF accounts or consolidation of employment records before the name issue can be fully resolved.

Does Gazette Automatically Change the Name in EPF?

UAN Profile Check
Confirm that the first name, middle name, surname, date of birth and gender are correctly displayed in the member profile. Even a small spelling or sequencing difference may create problems during future Aadhaar authentication or claim processing.
Aadhaar and KYC Check
Check whether Aadhaar continues to appear as verified and whether PAN and bank KYC remain approved. If any KYC status becomes pending or rejected after the correction, the member should review and resubmit the relevant details.
PF Passbook and Member ID Check
Verify that all previous and current PF Member IDs remain linked with the same UAN. The PF passbook should continue to show employment history, contributions and transferred balances without any missing or duplicate service record.
Employment Record Check
Ask the present employer to update the employee’s name in HR, payroll, Form 11, wage records and other internal service documents wherever required. Correcting only the UAN may not automatically update the employer’s own database.
PAN and Bank Record Check

How Long Does UAN Name Correction Take?
There is no fixed processing period that applies to every EPF or UAN name-correction request. The actual time depends on whether the correction can be completed through Aadhaar-based self-updation or requires employer authentication, document verification or examination by the concerned EPFO office.
EPFO simplified the member-profile correction process in January 2025. Eligible Aadhaar-validated members can self-approve certain profile corrections, subject to system validations. EPFO later reported that only a limited proportion of such cases would require processing at the EPFO level.
